This policy describes how we “JTEC Training Ltd” collect and process your personal data. This policy applies to the products and services offered. Your privacy is extremely important to us and we are committed to offering you a safe and hassle free experience using our services. JTEC Training are data controllers (who are responsible under GDPR for determining how personal data is processed) and data processors (who process data on behalf of a data controller). As an approved Partner we process data on behalf of the Partner’s we work with. We do not use your data for any purpose other than the following:-

What personal data we collect and why we collect it

JTEC Training work with partners who provide examination and certification services. We will collect your personal data (including name, address, email address, phone number, photo ID, previous qualifications, learning difficulties and disabilities) to confirm your identify, deliver qualifications, provide additional support where required and ensure the validity of the examination process. We may use this data for internal research and quality assurance purposes to ensure integrity of the courses we deliver. We are an approved partner with Peoplecert, ILX and JCP, along with a range of Colleges and other approved Training providers. We ensure that we meet their partner and test centre requirements for processing your data. We will share your data with third parties and they will share with us in the following circumstances:-

How we collect and use your personal data

  • If we have obtained your valid consent to do so
  • To book your exams
  • To receive your exam results
  • To share your exam results with other third parties (e.g. Job Centre, Employer or other provider/body where your course has been funded)
  • When we are required to by law or court order, or by a regulatory or governmental authority legally authorised to request such disclosure
  • If you are suspected and/or investigated for examination malpractice

Online proctoring via Peoplecert

  • Peoplecert offers examinations through the online proctoring services, for Users who wish to take an online exam at a preferred time and location (i.e. almost anywhere they have internet access) The service records the exam session (video, sound and User’s computer desktop), ensuring its security and integrity. Recordings are retained by Peoplecert for 1 year to provide a record of examination integrity.

Online accounts with Peoplecert

  • Peoplecert require all candidates must have an online account with Peoplecert, which is created and accessible via the Peoplecert website. Your account contains some or all of your personal data that we hold about you, and makes it easier for you to use their services. You may request deletion of your Account at any time by emailing dataprotection@peoplecert.org although this may reduce our ability to provide services.

Online training portal with ILX

  • For candidates who are provided with access to the online course portal will have their data used in the form for name and email address for the account to be set up. Access will be provided for 12 months from the date of issue.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Marketing communications

If you have opted in to receive marketing communications from JTEC Training, we may occasionally contact you via various means (e.g. email, SMS, telephone) to inform you of new products and services, and other JTEC Training developments. Partners are not permitted to use your data for marketing or similar purposes, unless you have provided them with specific consent. You have the option of opting out of such communications at any time, by using the “unsubscribe” links in the communications or by contacting us at info@jtectraining.com

  • If you have given your consent for your personal data to be used for marketing purposes we will gain this in writing and it will only be used for the purpose you agree (e.g. for Facebook marketing, brochures, testimonials etc.)

Contact forms

By completing the contact forms with your personal details you agree for us to contact you via email in regards the relevant product or service you request information on. If you wish that we contact you by telephone please state this in your message.

Surveys

  • We will run surveys at the end of your course to request information from users to assist us to improve our products, surveys and operating practices. Participation is voluntary and personal data provided in survey responses will be strictly confidential. The results of the surveys may be aggregated and anonymised, and such anonymised information may be shared with third parties.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

  • JTEC Training uses cookies on its websites to optimise user experience, enhance security and combat fraudulent and malicious web activity. These cookies contain information about your login status. You can adjust your browser settings or refuse or limit cookies. However, if you do not accept cookies, you may not be able to use parts of our website.

Analytics

We also use Google Analytics to improve the content and functions of our website. The Google AdWords is used to provide customised advertisements to suit needs and preferences. Google anonymously collects information such as age, gender, geographical location, webpage views and visits to other websites, including using cookies. You can manage cookie preferences through your Google account, by going to Google Account settings and editing your preferences. JTEC Training works in collaboration with a range of Partners. JTEC Training may contain links to other third party websites. JTEC Training are not responsible for the privacy practices or the content of any third party services and websites. For information on other organisations’ practices, you should consult their individual privacy policies.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

  • The retention of personal data is required by law, JTEC Training complies with the required retention periods. In other circumstances, JTEC Training retains Personal Data for as long as necessary for the business purposes set out above. For certain specific circumstances, shorter retention periods are specified in this policy.
  • We will retain your information for the duration you are on programme and retain your results for 1 year. This is for quality assurance processes and to inform for future training courses. This will be used for profiling purposes.
  • If you have provided consent for marketing purposes this will be retained for the purpose to contact you regarding new products/services or development.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

However, you acknowledge and accept that upon deletion of specific personal data, certification validation and other services provided by our Partners may not be available. Where we send your data

Visitor comments may be checked through an automated spam detection service.

We send your data to Third Party Partners that we work with on your behalf for exam registration and certification purposes and to provide results to those who have funded your course, such as JCP, employers and other bodies who fund your training.

  • JTEC Training may revise this policy to reflect any changes in products/services, legislation changes or for other reasons. If we do make any changes we will advise you via email. You will be bound by any changes when you use JTEC Training services after we have provided notice of such changes. You do have the option to opt out at any time.
